Make sure your event fits in with one of the aspects of ATG Expo: 

• Anime/Animation, Gaming (all kinds)
• Costuming
• Comics
• Physical Arts (including sports and martial arts)
• Movies
• Workshops.

Make sure you do ample research, be prepared on your topic, and have all of your participants ready. Don’t pick a topic/show/workshop you know “a little” about and wing it! Supporting documentation, references from other conventions at which you hosted the panel, and very detailed descriptions are the most helpful for us when we are choosing which panels/events are accepting into ATG Expo’s offerings! Having flexibility in hours also helps us in placement.

Types of Programming

When making your submission, please indicate the type of programming it will be.

PANEL – These are fan discussions, local professional presentations, game shows, improv or in-character performances and other types of sessions typically involving audience interaction (from Q&A to active participation). These sessions are presented in a well-lit room. Some events refer to this type of programming as “live programming”.

VIDEO – These are presentations with more than 70% video, including those with commentary. These sessions are typically presented in a dimly-lit or dark room. This includes MST3K/Riff-style funny presentations over video, AMV or Machinima events featuring mostly video, specialty hosted video programming blocks, or any event that hosts almost entirely video.

NO ADULT CONTENT – This convention is for all ages. We do not permit any panels pornographic in nature or 18+, if your panel has strong language, it can still be submitted but must have a content warning notification.

Requirements

• Must be 18 years old on or before June 14, 2025.
• Must be able to volunteer at least one 4-hour shift during a convention day.
• Let us know if you can attend the pre-show meeting on Friday. June 13, 2025.
• Adhere to all ATG Expo volunteer policies and guidelines.
• No one on any state’s sex offender registry will be permitted to volunteer.
• Complete the Volunteer Crew Application below.
• Some positions require standing for long periods of time.

Volunteer Positions

• MOVE-IN: Responsibilities would include helping get all the equipment to the rooms they belong to and set up an exhibitor room. Move in will be on June 12-13, 2025.
• TEAR DOWN: Responsibilities would include picking up any equipment from the show and loading it back into the truck. Tear down will be June 15, 2025 at the conclusion of the event.
• REGISTRATION: Responsibilities would include prepping perks, wristbands, and merchandise.
• LINE CONTROL: Your responsibilities would include designating attendees to follow the line flow and making sure VIP holders are in the correct line.
• SHOW FLOOR/ROOM MONITOR: Your responsibilities would include making sure traffic runs smoothly as well as answer questions attendees may have. As well as making sure vendors are ok and have anything they need.
• INFO BOOTH: Your responsibilities would include providing attendees’ basic information.
• FLOATER: Responsibilities would include floating from department to department where assistance is needed.
• TOURNAMENTS/FREE PLAY: Responsible for assisting the video game tournament and free play area organizers in running their tournament events and free play areas.

Please note not everyone will get the position they signed up for, the list below outlines what you could possibly be doing. Please dress comfortably and show respect to yourself and others while on shift.

Guidelines

Please conduct yourself in a professional manner at all times, as a ATG Expo volunteer your actions are a direct representation of the convention volunteers not abiding by the Code of Conduct will be asked to leave the convention. Help us to build a fun, easy-going family-friendly show by abiding by our codes of conduct.

• Show respect to yourself and those around you.
• Respect the direction and decisions of the volunteer coordinator or management.
• Perform your duties to the best of your abilities. Volunteers are restricted from any activity that will distract them from assigned duties.
• Volunteers are NOT allowed to be in celebrity guest hotel rooms.
• Volunteer badges, like all badges, are non-transferrable. If a volunteer gives their issued badge to another person, that volunteer is subject to expulsion and permanent ban from volunteering at future events.
• Alcohol and illegal substances are not allowed to be carried or consumed by volunteers while on shift.
• Always be courteous, friendly and cooperative.
• Deal with conflicts or difficulties in an appropriate manner.
• Any form of intimidation, threats, violence towards others (verbal, physical, or electronic) is prohibited.
• Any form of harassment, including inappropriate or unwanted touching, unwanted sexual language or gestures is prohibited.
• Any illegal activity or act is prohibited.
• Privacy: Volunteer meetings, volunteer events, and communications between management and general volunteer staff contain information from ATG Expo which may be confidential and privileged. Please refrain from any disclosure, copying, distribution or use of this information and note that such actions are prohibited until an official statement is released by the convention. This includes guest announcements, events, and convention policies and practices

If you are having any issues with attendees or having a hard time with your position or a certain responsibility please let the volunteer coordinator or manager know.

When requesting press passes:

• You will be asked to submit links or copies of articles about ATG Expo after the event.
• Please provide references to articles, video blogs, publications, websites, etc. that feature your work
• If you have covered any conventions or expos in the past, please provide us with a copy or link if possible.
• Your request will be weighed, and you may be contacted for further clarification.

We welcome all opportunities, but here are some ideas for how you may be able to participate:

• Have a game or animated project your company is working on? Host a panel. The ATG Expo audience loves to talk learn about new games and discuss community favorites. The panel can even be streamed live online.
• Are you looking for additional visual exposure to the attendees at ATG Expo? Your brand can appear on, wristbands, in our printed and digital program guides, signage hanging in the foyers, several free standing areas around the event, and more.
• We welcome partnerships and sponsorships around our special events, such as our video game tournament stages, indie game award showcase, cosplay contest, main stage, bringing in a celebrity guest for panels, and more.
• Game demos (both video games and tabletop games) can be hosted for ATG Expo attendees.
